Privacy Policy
Effective Date: May 21, 2026
Welcome to SAWANA POS. We are highly committed to protecting your privacy and ensuring the security of your business and customer data. This comprehensive Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Point of Sale (POS) application, website, and related services.
1. Information We Collect
To provide you with a seamless and efficient POS experience, we collect information in the following categories:
A. Account and Business Information
- Registration Data: Business name, owner's name, email address, phone number, and physical address.
- Authentication Data: Usernames, passwords (securely hashed), and PIN codes used for cashier and admin logins.
B. Transaction and Customer Data
As a POS system, the app processes data inputted by you regarding your daily business operations:
- Sales Data: Items sold, prices, discounts, payment methods, and invoice history.
- Customer Data: For features like Credit Sales (Ledger) or Loyalty Programs, you may input your customers' names, phone numbers, addresses, and National Identity Card (NIC) numbers.
- Inventory Data: Product names, barcodes, stock levels, and cost/selling prices.
C. Automatically Collected Information
- Device Information: Operating system, browser type, and device identifiers to optimize the Trusted Web Activity (TWA) Android application.
- Usage Logs: Login times, features accessed, and error reports to help us troubleshoot and improve the system.
2. How We Use Your Information
We do not sell your data. We use the collected information strictly for the following operational purposes:
- To operate, maintain, and provide the core functionalities of the SAWANA POS system.
- To process daily transactions, generate invoices, and manage your inventory effectively.
- To facilitate the Offline Mode. We use local browser storage (IndexedDB) to securely store transactions when internet connectivity is lost, which automatically syncs with our secure servers once reconnected.
- To send you administrative messages, such as security alerts, subscription renewals, or system updates.
- To provide customer support and resolve technical issues.
3. Data Sharing and Disclosure
Your business data belongs to you. We only share information in the following limited circumstances:
- Service Providers: We may use trusted third-party cloud hosting providers to store data securely. These providers are bound by strict confidentiality agreements.
- Legal Requirements: We may disclose information if required to do so by law, or in response to valid requests by public authorities (e.g., a court or government agency).
- Business Transfers: If SAWANA POS is involved in a merger, acquisition, or asset sale, your data may be transferred with prior notice.
4. Data Storage and Security
We prioritize the security of your data using industry-standard practices:
- Encryption: Data transmitted between your device and our servers is encrypted using Secure Socket Layer (SSL/HTTPS) technology. Passwords are cryptographically hashed.
- Local Storage: When using the App offline, data is temporarily and securely cached on your device. We recommend securing your physical devices with passcodes to prevent unauthorized access.
- Access Control: Within the app, role-based access control (Admin, Manager, Cashier) ensures that sensitive business data is only visible to authorized personnel.
5. Third-Party Links and Integrations
The SAWANA POS application may contain links or integrations to third-party services (e.g., WhatsApp for Owner Approval requests). We are not responsible for the privacy practices or the content of these third-party services. We encourage you to review their respective privacy policies.
6. Your Data Rights
Depending on your jurisdiction, you have the following rights regarding your data:
- Right to Access: You can view your business and transaction data at any time via the application dashboard.
- Right to Rectification: You can edit or correct inaccurate data through the system settings.
- Right to Deletion: You can request the permanent deletion of your account and all associated data from our active servers. Please note that certain data may be retained for legal or accounting purposes as required by law.
7. Children's Privacy
SAWANA POS is a business-to-business (B2B) application and is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children.
